Field Trip Policies

All field trip groups at The Leonardo are required to observe the following policies:


  • If you will be arriving later than your reservation, contact Leo staff as soon as possible with a revised arrival time.
  • Upon arrival, students and chaperones can be dropped off on 200 E or 500 S. Students and chaperones should gather in front of the Leo’s field trip entrance (on the southwest side of the building). Additional information can be found in our parking guide.
  • After the field trip starts, a Leo staff member will take the lead teacher to Admissions to check-in (and handle payment, if necessary).
  • Please contact The Leonardo for arrival times after 3:00 PM.


Payment can be made by cash, check or credit card prior to or upon your arrival. One single sum payment must be made for the entire field trip group. Group members paying separately are not eligible for field trip reservation rates and will be charged general admission.


We require a certain number of chaperones per number of students.

Required chaperones:

  • K–6th grade: 1 chaperone for every 5 students
  • 7th–12th: 1 chaperone for every 8 students.

Students must be accompanied by a chaperone at all times while in the museum. Chaperones must be 21 or older and must stay with the students. Chaperones will be provided with a field trip guide and an orientation upon arrival and are expected to help students get the most out of the field trip by assisting in activities, encouraging good behavior, and handling any disciplinary problems.

Group Size

Minimum group size for a field trip is 15 students. If your group makes a reservation or arrives with less than 15 students, the Leonardo reserves the right to charge general admission prices.

Maximum group size for field trips is 150 students. If your group exceeds 150 students, The Leonardo will contact you to coordinate time and spacing between groups.

Behavior and Damages

In the event of disruptive behavior, Leo staff reserve the right to ask students and chaperones to leave the museum.

In the event of damage to museum property, Leo staff reserve the right to charge the field trip’s leader or organization for the cost of repair.

Busses and Parking

There is a drop-off zone on the east side (going north) of 200 E where buses can drop off students. Students can also be dropped off on the north side of 500 S if parking is available.

Free street parking for buses and chaperone cars is available one block south of The Leonardo on 600 S between 200 E and 400 E. Paid parking for chaperone cars is also available in the underground parking garage that is owned by the city (entrances on 400 S and 500 S). The Leonardo does not validate for street-side parking meters or for the city-owned parking garage.

Arriving late for a field trip may result in a shortened or cancelled workshop, to be determined by The Leonardo’s staff. We try to accommodate school groups and their schedules, but due to other groups’ reservations we cannot guarantee a workshop if your group arrives late. Refunds will not be given to groups arriving late.

Special Needs

Please let us know if there are any students with any special needs that require specific accomodations. If the group will be bringing a dedicated chaperone as additional support for the student(s) with special needs, they will be considered a free chaperone.

Photo Release

During field trips, photos may be taken by museum staff to be used for evaluation or marketing purposes.  If there are any students in the group who may not be photographed, please inform the lead facilitator when your group arrives. Otherwise, by participating in a field trip, all participants give permission for their photos to be used by The Leonardo. We will inform you if your field trip can expect to have their photos taken.

Cancellations and Refunds

Any requests to cancel or reschedule a field trip must be made at least two weeks in advance of the scheduled field trip date. Any requests to reschedule within two weeks cannot be guaranteed the preferred date or time, and may be charged a rescheduling fee. Rescheduling a field trip more than once may also incur a rescheduling fee.

If a field trip must be cancelled or rescheduled on short notice due to inclement weather, please provide as much notice as possible.
